Microsoft 365 Security Hardening: The 15 Settings Your IT Provider Should Have Configured on Day One (But Didn’t)
Every Microsoft 365 tenant ships with security defaults that are woefully insufficient for businesses. Microsoft designed these defaults for consumer-grade usability, not enterprise security. The result: most SoCal businesses running M365 are one compromised password away from a complete Business Email Compromise (BEC) attack where an attacker takes over a mailbox, reads email for weeks to learn your business, then sends fraudulent wire transfer instructions to your accounting team or impersonates an executive to redirect vendor payments. Why Microsoft Doesn’t Back Up Your Data: The M365 Shared Responsibility Model Every Business Needs to Understand
Microsoft operates M365 under a shared responsibility model: Microsoft is responsible for infrastructure availability (keeping the service running, replicating data across their data centers for redundancy, and protecting against infrastructure-level failures). You are responsible for your data — protecting it against accidental deletion, malicious deletion, ransomware, retention policy gaps, and regulatory requirements. Microsoft’s own Service Agreement states clearly that they recommend third-party backup.
What Microsoft’s native retention actually provides: deleted emails are recoverable for 14 days in the Recoverable Items folder (30 days if configured). Deleted files in OneDrive and SharePoint are recoverable for 93 days in the recycle bin. After these windows, data is permanently gone. There is no point-in-time recovery. If ransomware encrypts your SharePoint files, versioning helps — but only if enough version history exists and only if the attacker didn’t delete previous versions. If a departing employee mass-deletes their OneDrive before their last day, you have 93 days to notice. If an admin account is compromised and the attacker purges mailboxes, Recoverable Items has a 14-30 day window. These are not backup solutions — they are temporary safety nets with narrow windows.
